Privacy Policy for The Cash Flow CFO
1. About This Policy

This Privacy Policy explains how The Cash Flow CFO Inc., doing business as The Cash Flow CFO ("we," "us," or "our"), collects, uses, shares, and protects personal information. It applies to:
- visitors to our website at thecashflowcfo.com;
- people who contact us, book a call, sign up for our emails, download our free tools, or attend our workshops;
- our clients and the people who work for them; and
- job applicants.
It does not apply to third-party websites we link to. This policy is part of our Terms of Service. If you are a client, your Engagement Letter may include additional confidentiality terms, and those terms control for your engagement.
2. Information We Collect
We collect the following categories of personal information.

We ask that you do not send us sensitive personal information, such as Social Security numbers, through website forms or unsecured email.
3. How We Use Information
We use personal information to:
- respond to inquiries and schedule calls;
- provide, bill for, and improve our services;
- send newsletters, workshop invitations, and marketing emails you have signed up for;
- deliver free tools and workshops you request;
- understand how visitors use our website and measure our advertising;
- evaluate job applicants;
- protect against fraud and security threats; and
- comply with legal and professional obligations.
We use client business and financial information only to provide the services you engaged us for, as described in Section 5.
4. Cookies, Analytics, and Advertising
Our website uses cookies and similar technologies to operate the site, understand how it is used, and measure our advertising.
4.1 Google Analytics. We use Google Analytics to see how visitors find and use our website. Google collects information such as pages visited and device type. You can opt out with Google's browser opt-out add-on.
4.2 Meta Pixel. We use the Meta (Facebook) Pixel to measure the results of our ads and to show our ads to people who have visited our website. Meta may collect information about your activity on our website and combine it with information from other websites and apps. You can manage this in your Meta ad preferences.
4.3 Activity across websites. Google and Meta may collect information about your online activities over time and across different websites. We do not allow other third parties to do so through our website.
4.4 Your choices. You can block or delete cookies in your browser settings. Some features of our website may not work properly if you do. You can also opt out of interest-based advertising from many companies at optout.aboutads.info.
4.5 Do Not Track. Some browsers send a "Do Not Track" signal. Our website does not currently respond to these signals.
5. Client Financial Information
We treat client business and financial information as confidential. This includes your accounting records and any personal information it contains about your employees, customers, and vendors.
- Limited use. We use it only to provide the services you engaged us for. We never use it for marketing, and we never sell it.
- Limited access. Only team members and contractors who need it for your engagement can access it, and they are bound by confidentiality obligations.
- System access. When you give us access to systems such as QuickBooks Online, we request the lowest level of access we need. You can revoke it at any time.
- No tracking tools. Analytics and advertising tools do not run on pages or systems where you upload or enter financial information.
- Required disclosures. We disclose client information without your consent only when required by law, court order, or professional obligations.
6. How We Share Information
We do not sell personal information. We share it only as follows:
- Service providers that help us run our business, such as our payment processor, email marketing platform, scheduling tool, website host, cloud storage, and accounting software providers. They may use the information only to provide services to us.
- Analytics and advertising partners (Google and Meta), for the website information described in Section 4.
- Legal and safety reasons, when required by law, court order, or professional obligations, or to protect our rights or the safety of others.
- Business transfers, if we are involved in a merger, acquisition, or sale of our business. The recipient must protect the information as described in this policy.
- With your consent, for any other purpose.
We do not share personal information with third parties for their own direct marketing purposes.
7. Retention and Security
7.1 How long we keep information. We keep personal information only as long as we need it for the purposes in this policy or as required by law.

7.2 Security. We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls and encrypted storage. No system is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you as required by California law.
8. Your Choices and California Rights
8.1 Marketing emails. You can unsubscribe from our newsletter and marketing emails at any time with the link at the bottom of each email. We will still send messages about services you have bought from us.
8.2 Reviewing and correcting your information. You can ask us to review, correct, or delete the personal information we hold about you by emailing hello@thecashflowcfo.com. We will respond within 30 days. We may need to verify your identity, and we may keep information we are required by law or professional obligations to retain.
8.3 California "Shine the Light" law. California residents may ask whether we have shared their personal information with third parties for those parties' own direct marketing. We do not share personal information this way.
8.4 California Consumer Privacy Act. Based on our size and practices, we are not currently subject to the California Consumer Privacy Act. If that changes, we will update this policy to explain your rights under that law.
9. Job Applicants
When you apply for a job with us, we use the information you provide to evaluate your application, contact you, and check references you have provided. Only people involved in hiring can access it. We do not use applicant information for marketing. If you are hired, your information becomes part of your employment records, which are covered by a separate employee notice.
10. Children, Changes, and Contact
10.1 Children. Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
10.2 Changes to this policy. We may update this policy from time to time. We will post the updated version on this page with a new effective date. If we make material changes, we will also notify clients and email subscribers before the changes take effect.
